Leipzig, 07.10.2024. With Fakturio, ALVARA | Digital Solutions has been providing financial institutions with the opportunity to streamline the entire billing process for cash-in-transit service providers and cash service companies for years. The focus here is on automatic invoicing, which not only increases efficiency, reduces errors and increases security, but above all guarantees an overview of all services provided. Recognizing the benefits, Bargeld - Logistik Allgäu GmbH switched to fully automated invoicing this year by implementing the Fakturio tool. The cooperation with the software manufacturer from Leipzig was particularly convincing due to the simple, transparent and fast changeover to e-invoices.

If Bargeld - Logistik Allgäu GmbH takes a look into the past, it reveals a less than efficient invoicing process, as is the case in many companies. At that time, the basis for invoicing was still Excel spreadsheets that the company had built itself. “Potentially error-prone and more time-consuming to maintain - this probably best describes the work of our accounting staff at the time. Above all, determining the items relevant to invoicing and the customer-specific conditions, creating the attachments and sending the documents to the invoice recipients took time,” recalls Alexander Pachinger, Managing Director, Bargeld - Logistik Allgäu GmbH. “A procedure that cannot be managed in the long term with limited personnel resources.”

The cash service company of Sparkasse Allgäu was looking for digital solutions to make the entire invoicing process easier for employees, reduce sources of error due to manual work and benefit from greater efficiency in the process. “We opted for Fakturio from ALVARA | Digital Solutions because the provider thought ahead. The billing software also makes it easier to maintain contract master data and provides a maximum overview thanks to the reporting on services rendered - for us and our customers. The user-friendly design and clear structure of the solution ensure that employees can quickly take on tasks that are otherwise perceived as quite complex. Substitutions in the event of vacation or illness are no longer a headache for us,” says Alexander Pachinger.

Switching to Fakturio and familiarizing customers with the new system takes little time and effort. “In the first step, we determine the previous invoice layouts and implement them in Fakturio,” explains Robert Wolf, Managing Director of ALVARA | Digital Solutions. “Training and support for the rollout are spread over several dates. This allows us to maintain continuous contact with the customer during the implementation phase and quickly resolve any unanswered questions. Once the operation has been fully clarified and the data has been correctly created, there is nothing standing in the way of its use.”

A look at the solution: Fakturio supports the billing of all services rendered. The software bundles billing-relevant items and specific customer conditions. The connection to the Pecunia Cash Center - also from ALVARA | Digital Solutions - opens up further benefits. For example, master data and services stored in Pecunia can be automatically transferred to the billing software. This saves time, as the data only has to be entered once - information losses and inconsistencies in data records are ruled out.
